
How to Report a Performance
If you do not have web service login credentials for a performer yet, you can get them by logging in with your Finnish online banking credentials or mobile certificate. If you do not have either, please contact our customer service to order login credentials. You do not need to be a Teosto member to get login credentials for a performer.
PLEASE NOTE! If you are already a member, but you do not see the Performances subpage in the web service, you have selected only the role of an author when you joined. You can add the role of a performer for yourself by logging in with your online banking credentials or mobile certificate via the Get performer login credentials link below and changing your profile to Author and performer.
Please note when reporting a performance
- Report your performances in time! Please check the reporting schedule from the link below.
- If you are reporting a performance for the first time, search for all the songs you performed using the General work search to make sure they are correct.
- Please note that reports cannot be saved as incomplete: they must be completed in one go for the event.
- The web service also works on mobile devices, so you can log in to the web service at any time and on any device. The old Keikkamobiili app has been closed.
- Once you have sent out the report, you can no longer change the event information, such as its name or date. If you notice that you have entered incorrect information about the event, please contact our customer service and we will correct the information for you.
- Once you have started filling the information, a message may appear on the screen stating that a performance has already been entered for the same day at the same venue. In this case, someone else (usually the event organiser) has already reported the basic information of the event to us. Select the event on the screen as the basis for your notification (do not make a “double report”), add the songs you performed and correct any errors.
How to report a performance
How to change your role
- You can switch your role from an author to a performer and vice versa by clicking on the profile icon or your name in the top right corner of the page. You can only report performances in the role of a performer.
- When your role is a performer, you can report new performances and complement or delete existing reports.
How to add a new ensemble
- You can add a new ensemble for yourself on the new service homepage. You can access the new homepage by clicking on the Go to the updated website button on the old homepage that opens first.
- If you are already on the updated website, you can access the new front page by clicking on the Teosto logo in the top left corner of the page.
Adding works to a setlist
- In the new service, set lists are not created or saved separately.
- If you have reported performances before, you can copy the works you have performed from any previous report to serve as a basis of a new performance report. You can easily edit copied information by adding or removing songs and changing their durations.
- The work search in the Performed works section will first show your own works that you have reported in earlier. If you have not performed the work before, add it via the General work search.
- You can narrow down the search results of the General work search by entering at least one author’s name or IPI number in addition to the name of the work. If you are looking for a specific arrangement, also enter the name of the arranger.
If you perform the same work twice or more
The same work cannot be added to the same notification more than once. If you perform the same work two or more times during the same gig, do as follows:
- Create one performance report and increase the duration of the work to match the total duration of its performances. For example, if you are performing a song with a duration of 3’13 twice, enter the song duration as 6’26.
- One notification is also sufficient if you perform several times during the same day at the same venue (e.g. a daytime gig and an evening gig). In this case, add the total performance time of the works as described above.
Live-streamed performances
- Since 2023, the performer does not need to report performances for free streams on platforms licensed by Teosto (YouTube, Facebook, Instagram, TikTok) as the platforms report the works streamed. For streams subject to a charge, the performer must always report their performance, also regarding the platforms mentioned above.
- You can report both live and live-streamed performances in the web service. If the event where you performed was a hybrid event (live + stream), submit separate reports for both the live performance and its stream.
Statuses of reported performances
You can complement or change information about the performed works after sending the report. In the performances page, you can also see the status of each reported performance:
Waiting for you = Someone else (usually the event organiser) has already reported the basic information of the event to us and added you as a performer. However, the setlist performed at the event is missing.
What should you do? Report the works you performed at the event or reject the event if you did not perform there.
Unconfirmed = Someone else (usually the event organiser) has already reported the basic information of the event to us, added you as a performer at the event and reported all or part of the songs performed at the event.
What should you do? Check the accuracy of the setlist and correct them, if necessary, or reject the event if you did not perform there. After you have checked the information, confirm it. If you do not confirm the information, the music performed at the event is forwarded to distribution with unchecked information.
Confirmed = You or someone else reporting the performances on your behalf has sent a report and provided the information regarding the music performed at the event.
What should you do? If necessary, edit the information in the notification by removing or adding works or editing the duration of the works.
Closed = The performance report has been forwarded to distribution and can no longer be edited.
What should you do? If you notice a Closed performance report containing a significant error (such as missing songs or incorrect organiser information), please contact our customer service so that the error can be corrected.
Reports for performances abroad
Own live performances
If you’ve performed abroad at a gig or concert, you can report the performance the same way you report your performances in Finland. The schedule for reporting foreign live performances follows the same timeline as for domestic performances. For your own performances, make sure that the foreign event organiser provides the event information to the local copyright societies. If a foreign event organiser asks you to give the setlist on site, you should still report the performance in Teosto’s web service, too.
Reported performances abroad will be shown in the Closed status as soon as you have submitted them. This is because we forward the performance reports to the foreign copyright societies with which we have reciprocal representation agreements as quickly as possible. Based on the agreements, foreign societies collect royalties for the music authors and composers who are members of Teosto and pass them on to us so that we can pay them to you.
Live performances by others
You can also report a performance in the web service if someone else has performed your music abroad at a gig or a concert. For example, a composer can report a performances for a foreign orchestra performance of their work. In the report, select Additional information on the performance abroad: My works have been performed abroad by another artist or orchestra and, in addition to other information, also enter Performer name.
We forward the reported performances to foreign copyright societies with which we have reciprocal representation agreements. Based on the agreements, foreign societies collect royalties for the music authors and composers who are members of Teosto and pass them on to us so that we can pay them to you.
Radio, TV and online performances abroad
For radio, TV and online performances abroad, do not report your performances in the web service. Instead, you must send a claim. Instructions can be found on the Claims page.
Reported performances abroad in 2019, 2020 and 2021
- Performance report for performances abroad in 2019, 2020 and 2021 for which processing and distribution has been completed, have not been transferred to the new web service.
- Information about the performances in these years will be retained in the old service. We provide you with this information on a separate request if you need it for making a complaint, for example.
